Platform & admin

Your own APROS, with your rules for who sees what.

Every company gets its own app and its own database at its own address. Admins decide which modules are on, who can see which records, and which fields and record types the team works with.

Roles & permissions

A rep sees their deals. Their manager sees the department’s.

Maria sells for Northwind. Her role gives her Deals at Own, so her board shows her deals and nobody else’s. Oleh runs the sales department and holds the same permission at Department, so his board shows the whole team. Finance can view every invoice and delete none. AI works through the same checks, so when Maria asks the AI Brain about the pipeline, it reads what Maria may read.

Custom entities

Track what your business tracks, without waiting for a developer.

Northwind rents showroom furniture to its clients. An admin creates a Rental record type with a start date, a return date and a deposit, stages Booked, Out and Returned, and a link to the company and the deal. The team plans rentals on a calendar and moves them on a kanban. A stage rule stops a rental from moving to Returned without a return date and notifies the warehouse lead when it does.

Modules

Start with what you need. Switch on the rest when you’re ready.

Northwind starts with Sales, Mail and Calendar. In spring the warehouse moves into APROS, and an admin switches Commerce on. Stock, orders and price lists appear for the people allowed to see them. Switch a module off and nothing breaks quietly: its dashboard widgets turn into placeholders, and automation rules that depend on it show “Paused: Commerce is off”.

Audit logs

Find out who changed the deal amount, and when.

On Monday the Atlas Freight deal says $4,000 instead of $40,000. An admin opens Audit Logs and filters by the record. The change is there: who made it, what it was before and after, when, and from which IP address and browser. If an AI agent made a change, the log names the agent.

AI in this module

AI works inside the same rules as your team.

  1. The same permissions.Agents act through the same company, role, record-level and module checks as people, and every change they make carries the agent that made it.
  2. Modules apply to AI too. When a module is off, agents can’t use it either.
  3. Search that respects access. When the AI searches your workspace, each person gets results only from records they’re allowed to see.
  4. Spend limits.AdminSee AI spend by feature and model, and set monthly and daily limits with an alert threshold.

FAQ

Platform & admin questions.

Is our data separate from other companies’ data?

Your company runs its own APROS application with its own database, at its own address. No other company’s records are in it. The Security page explains how the services behind the app keep each company separate.

Can we control what each person sees?

Yes. Each of the 186 permissions has five levels, from No access to All, and roles combine them. Department-level access follows your department tree, so a manager sees their department’s records and a rep sees their own.

Can we add our own fields and record types?

Yes. Admins add custom fields of 19 types to leads, contacts, companies, deals, invoices and products, and create custom record types with their own fields, stages, views and permissions.

How do we control sign-in?

Admins set an inactivity timeout from 5 to 1,440 minutes, can require strict passwords, and can turn off self-registration. Everyone can see their active sessions and sign out of every device at once, and admins can see each person’s sessions and deactivate an account.

Which languages does APROS speak?

English and Ukrainian. Each person picks their own.
