Generate

Open the deal, pick a contract, fill in one field.

Maria needs a supply contract for Harbor & Pine Studio. On the deal she picks Contract and a template. The currency, the amounts and the three lines come from the deal. APROS checks what’s really missing and asks for one thing: the delivery address. She fills it in and the draft is ready.

Control

Contracts go out only after the right person approves them.

Contracts at Maria’s company need a director’s approval. Sending the draft creates an approval task for the director. If anyone edits the text after approval, the approval goes stale and the contract needs approving again. Once it’s approved, Issue allocates the number, renders the PDF and freezes the version. Maria marks it Sent, then Signed when the copy comes back.

Chain

The next document starts from the last one.

When the chairs and tables are delivered, Maria opens the contract and clicks Generate next. The completion act is created already linked to the contract, so the chain shows the paper trail for the deal: the contract, then the act.

Share

Send a client a spreadsheet they can comment on, for a week.

Emma at Harbor & Pine needs to check the delivery schedule. Maria shares the spreadsheet by public link with comment rights, a password and a seven-day expiry. Emma comments in her browser without an account. When the week is over, the link stops working. Maria can switch it off sooner.

FAQ

Documents questions.

Can clients sign documents electronically?

Not inside APROS. Issue the PDF, send it, and mark it Signed when the signed copy comes back. You can also register the signed scan in the register as its own document, with its file.

Do we need Microsoft Office?

No. Create and edit Word, Excel and PowerPoint files in the browser, and preview PDFs, images, video and more without downloading them.

Can we use our own templates?

Yes. An admin uploads a DOCX and edits it in the browser, writes HTML with placeholders for record fields, or builds a template from an existing file. Letterheads carry your header, footer, fonts and brand colors.

Is there version history?

For issued documents, yes: every issue keeps its own version and file. Ordinary files in Files don’t have version history.

Which document kinds come built in?

Twelve: contract, act, invoice, NDA, amendment, public offer, commercial proposal (A4 or deck), technical specification, report, letter and other. Each kind has its own number series, folder, letterhead and approval rules.
