This Acceptable Use Policy is part of the Terms of Service. It applies to every customer of APROS, to everyone who uses a customer’s workspace, and to the AI agents and automations a workspace sets up. A customer is responsible for what happens in its workspace, including what its AI agents do.
APROS gives you tools to talk to customers on several platforms, to send email and to automate work with AI. APROS does not check every platform rule or law for you. Before you use a channel or an AI feature, make sure you can use it lawfully and under that platform’s rules.
Messages and spam
You must not use APROS to send unsolicited or bulk messages, and you must:
- contact people only where you have a lawful basis, and their consent where the law or the platform requires it;
- not use bought, rented or scraped contact lists;
- stop messaging anyone who asks you to stop, on any channel, and keep a record of the request;
- not disguise who you are or why you are writing;
- follow the anti-spam and direct-marketing laws of the countries you send to.
Facebook Messenger and Instagram
When you use a Facebook Page or Instagram account through APROS, you must follow Meta’s terms and policies, including the Messenger Platform and Instagram messaging policies. In particular:
- reply within the 24-hour standard messaging window that opens each time a person writes to your Page or account. APROS sends Messenger and Instagram replies only as standard responses within that window: it cannot send tagged messages (such as Meta’s Human Agent tag), and it does not warn you when the window has closed, so reply in time;
- do not send advertising or promotional content where Meta’s policies do not allow it.
Where you connect a WhatsApp Business number, you must follow the WhatsApp Business Messaging Policy and Meta’s terms for the WhatsApp Business Platform. In particular:
- get a person’s opt-in before you start a conversation with them, and keep it on record;
- outside the 24-hour customer service window, send only approved message templates;
- respect every request to stop or block messages;
- if you answer WhatsApp messages with an AI agent or other automation, give people a prompt, clear and direct way to reach a human, such as a transfer to a person in the chat, a phone number or an email address;
- publish your own privacy policy that covers how you use WhatsApp conversations.
APROS uses AI to help businesses serve their own customers. You must not use APROS to offer a general-purpose AI assistant or chatbot to the public on WhatsApp, or on any other messaging platform whose rules forbid it.
AI agents and automated replies
- Tell people when they are talking to AI. If an AI agent or another automation answers people for you, tell them they are communicating with an automated service wherever the law or the platform requires it, for example at the start of a conversation, after a long pause and when a conversation moves from a person to automation. We recommend doing this even where it is not required.
- Supervise your agents. Choose each agent’s autonomy level and tools with care. At the autonomous level, an agent can send messages and email without asking a person. You are responsible for what it sends.
- Do not make important decisions about people with AI alone. Do not use AI output alone to decide on someone’s employment, housing, credit, insurance, education or access to essential services.
- Do not deceive. Do not use AI to impersonate a real person, to create misleading content presented as genuine, or to manipulate people.
- Do not attack the AI. Do not try to make an AI agent act outside the permissions it was given, or to reach data of another workspace, including through prompt injection.
- Follow the AI providers’ rules. AI features run on the providers listed on our Sub-processors page. Do not use them for anything those providers’ usage policies forbid.
Data from Meta platforms and Google
Data that APROS receives through Facebook, Instagram, WhatsApp, Gmail or Google Calendar may be used only to run your business’s own conversations, mail and calendar in APROS. You must not use it:
- to decide whether a person is eligible for housing, employment, insurance, education, credit or similar opportunities;
- for surveillance of individuals or groups;
- to sell, license or give it to others, including data brokers and advertising platforms;
- to build profiles of people for purposes they have not agreed to.
Do not use a connected Gmail account to send bulk or unsolicited email. Follow Google’s policies for Gmail.
Calls and recordings
- New workspaces start with call recording, the AI call coach and automatic post-call AI analysis switched on. When the coach joins a video call, every participant’s speech is transcribed by an outside provider (see the Privacy Policy).
- Before you record or transcribe a call, or let the AI coach join, tell the participants and get their consent where the law requires it. If you cannot, switch these features off in the call settings.
- People who join a call through an invitation link do not currently see an indicator in APROS that the call is being recorded or that the AI coach is listening. You must tell them yourself, for example in the invitation or at the start of the call.
- Follow the law on recording phone calls in every country where you make or receive them.
Personal data
- Process personal data in APROS only where you have a lawful basis, and give people the information the law requires.
- Do not put special categories of data (such as health data) or data about criminal convictions into APROS unless the law allows it and you need it.
- Do not use APROS to collect data about children for marketing or profiling.
Illegal and harmful content
You must not use APROS to store, send or create content or activity that:
- is illegal, including child sexual abuse material, terrorist content, and the sale of illegal goods or services;
- is fraud, phishing or a scam, or impersonates another person or organisation;
- harasses, threatens or incites violence or hatred against people;
- infringes intellectual property, privacy or other rights;
- contains malware or links to it;
- breaks sanctions or export control laws.
Security and fair use
You must not:
- access, or try to access, another workspace or any account, system or data you are not authorised to use;
- probe, scan or test APROS for vulnerabilities, except as allowed on our Security page;
- disrupt APROS, including by overloading it or by sending traffic designed to degrade it;
- get around plan limits, AI spending limits, rate limits or access controls;
- copy, resell or give third parties access to APROS, except your own Users;
- share accounts between people. Each User must have their own account.
Reporting abuse
If you see APROS being used against this policy, for example if you receive unwanted messages from a business that uses APROS, write to hello@apri-code.com with the details. We look into every report.
What we do if this policy is broken
Depending on how serious the breach is, we may:
- ask you to stop and to fix it;
- remove or disable content, AI agents, channels or connected accounts;
- suspend Users or the workspace;
- end the contract under the Terms of Service;
- tell the affected platform (such as Meta or Google) or the authorities, where we must or where it is needed to prevent harm.
Where we can, we tell you first and give you a chance to fix the problem. We act without notice when there is a serious risk of harm or when the law requires it.
Changes
We may update this policy as the law and platform rules change. The current version is always on this page, with its date at the top.
