AI Brain

Ask your business. Approve what matters.

AI Brain is the first screen your team sees. It answers from your real records, prepares the next step and does the work, inside each person’s permissions. Important actions wait for your approval until you say otherwise.

  • Summary
  • Insight of the day
  • Search chats…
  1. AI Brain is the home screen.Open APROS and start with a question, not a menu. The Brain finds, answers or gets it done across the workspace.
  2. Summary cards.Today, Overdue, Deals stalled more than seven days, Leads new in the last 24 hours. One click sends the question to the Brain.
  3. Insight of the day.One observation about your numbers on the home screen, linked to analytics.
  4. Rich answers.Answers come back as dashboards, comparison tables, metric cards and record previews you can click straight into.
  5. Ask about files.Attach a file to your question, and the Brain reads the document text along with it.
  6. Chat history.Reopen and search every past conversation with the Brain. Copy, regenerate or stop an answer, and rate it with a comment.

  6. Specialist agents on call. The Brain hands parts of a job to specialist agents and shows their progress as they work.

Coworker mode

Hand over the whole job, not one question at a time.

Maria switches the Brain to Coworker and types: “Every lead with no next action: draft a follow-up and plan a call.” The Brain lays out a plan card: find the leads, read each conversation, draft the messages, create the tasks. It ticks the steps off as it goes. Reading runs on its own. Creating tasks waits for Maria, because the Brain is in Approval mode. She approves three tasks and edits one draft.

Answers you can click

A question becomes a table you can act on.

Oleh clicks the Deals card: “8 open · stalled >7d.” The Brain answers with a comparison table: deal, stage, amount, days without activity. Each row opens the deal. He asks a follow-up, “Which of these has an overdue task?”, and the table narrows to two.

Inside your permissions

The Brain only knows what you’re allowed to see.

A sales rep and the sales director both ask, “What’s our biggest open deal?” The rep gets the biggest deal among the ones he can see. The director gets the biggest deal in the company. The Brain searches with each person’s own access, so nobody learns from AI what the role would hide from them.

Each answer comes only from the records that person is allowed to see.

Results, not just text

Ask for the proposal. Get the file.

Emma at Harbor & Pine wants a short proposal for 12 oak chairs and 2 ash tables. Maria asks the Brain for a two-page proposal and a one-slide summary. Both open in the canvas next to the chat. She downloads the Word file and the deck, and the next chat picks up where this one left off.

Guardrails

Where it stops.

AI in APROS works inside the same rules as your team. Here’s exactly where those rules are.

  1. Your permissions, not more.Every tool the Brain or an agent uses checks the same roles, row access and modules as a person would. Changes it makes are recorded with the agent that made them.
  2. You choose how much it does alone. The Brain starts in Approval mode. Agents have three levels, set out in the table below.
  3. Deletions always wait.At every level, deleting data needs a person’s approval.
  4. Channel agents are different, and we say so.An agent attached to a messaging channel answers customers on its own in First Line mode (the default) and in Autonomous mode. In Assistant mode it answers only when your team asks.
  5. Outside text is marked.Customer messages, emails and web pages are treated as untrusted data. A run that acted on them is flagged and logged.
  6. Spend has a ceiling.Admins see AI spend by feature and model and set daily and monthly limits.
  7. No training on your data.We don’t train or fine-tune AI models on your workspace data. When an AI feature runs, the data that request needs goes to the AI provider that runs it. The Privacy Policy names those providers and what they receive. Privacy Policy

FAQ

AI questions.

Is AI Brain only for plans with the AI module?

No. AI Brain is part of the core of APROS and stays on when the AI module is off. AI Studio, automations and workflows come with the AI module.

Can the Brain see everything in our company?

It sees what the person asking can see. Search and every tool run with that person’s roles and access, so a rep and a director get different answers to the same question.

Will it change things without asking?

Only if you allow it. In Approval mode the Brain asks before important actions. In Auto it works on its own, and deletions still wait for you. Agents have their own level, from Assist to Autonomous. Preset agents start at Assist or Semi-autonomous, and you can change each one. An agent attached to a messaging channel answers customers on its own in its default mode, and you can switch it to answer only when your team asks.

Do you train AI on our data?

No. We don’t train or fine-tune models on your workspace data. AI features send the data a request needs to the AI provider that runs them, and each provider handles it under its own terms. The Privacy Policy names the providers.

Can I talk to it?

In the APROS Telegram Mini App, yes: the Brain there takes voice input. In the web app you type.

Ask your business a real question. Join the waitlist, or book a demo and ask the Brain about your own workflow.
