This page explains how to ask ТОВ «АПРИКОД» (APRICODE LLC; “Apricode”, “we”) to delete data that APROS holds about you. Anyone can send a request. You do not need an APROS account. The Privacy Policy explains what this data is and why APROS has it.
Who this page is for
- People who sent messages on Facebook Messenger, Instagram or WhatsApp to a business that handles its conversations in APROS.
- Businesses that connected a Facebook Page, an Instagram account or a WhatsApp Business number to APROS.
- People who connected Gmail or Google Calendar to APROS.
- Anyone else whose data is in an APROS workspace, such as a business’s customers, contacts, employees or call participants.
How to send a request
Email hello@apri-code.com with the subject “Data deletion”. Write in English or Ukrainian. Tell us:
- Who you are in this matter: a person who messaged a business, a business that connected an account, a Google user, or someone else.
- The channel or service: Facebook Messenger, Instagram, WhatsApp, Gmail, Google Calendar, or another.
- Where your data is: the business, Page, account or phone number you messaged, or the APROS workspace (
yourcompany.apros.app) you used. - What we need to find it: your name or username in that channel, your phone number for WhatsApp, or your email address, and the approximate date of the conversation.
- What you want deleted: everything about you, or something specific.
Do not send passwords, access tokens, login codes, card details or copies of identity documents. We do not need them to delete data.
How we check a request
Before we delete anything, we make sure the request comes from the person the data is about, or from the business that controls it. If your email does not make this clear, we will ask you to confirm it in a reply. For a messaging channel, we may ask for details that only the sender would know, such as roughly when you wrote and what one of your messages said. Please do not write to the business again just to prove who you are: a new message creates new data. We never ask for passwords, tokens, login codes or documents.
People who messaged a business
When we have verified your request, we first tell the business and give it 7 days to tell us about any of your data that a law requires it to keep (for example, an invoice). We then delete the data APROS holds about you in that business’s workspace:
- your conversations and messages, including messages that were already hidden as deleted;
- the attachments you sent and the copy of your profile photo, from file storage;
- your name and the identifiers Meta assigned to you;
- the contact or lead created from your conversation, and the activity history linked to it, including previews of your messages;
- staff notifications in APROS that show your name and a preview of your message;
- conversations with AI Brain and memories of AI agents that contain your messages or details;
- the copies of all of this that the workspace’s audit log keeps;
- entries about you in the workspace’s search index;
- copies in our background job queues, where jobs that failed are otherwise kept.
If the business must keep some of your data by law, we keep only that data, for that purpose, and tell you what was kept and why. We tell the business when we have finished.
We cannot remove single entries from our system logs or from backups. Our system logs can contain identifiers, names or email addresses. Such copies remain until those logs or backups are themselves deleted.
Businesses that connected Meta accounts
Disconnecting is not deleting
You can disconnect APROS in two ways:
- In your APROS workspace, in the settings of the Facebook, Instagram or WhatsApp integration. New messages stop arriving, and the access token of the person who connected is deleted. The conversation history stays, and so do the encrypted access tokens of the Page, account or number, marked inactive.
- On Meta’s side, by removing APROS from the business integrations in your Facebook settings or Meta Business Suite. Meta stops giving APROS access, but APROS is not told: the channels still look connected in APROS, and the conversation history and stored tokens stay.
Either way, the history and the stored tokens stay until we delete them.
To delete
The account owner of the workspace can email us as described above and ask us to delete:
- all data APROS received through Meta for the workspace: conversations, messages, attachments, names, profile photos, identifiers and access tokens, including the copies kept in the audit log and in file storage; or
- the data of specific people or conversations.
When a business’s APROS account is closed, we delete the data received through Meta platforms in its workspace within 30 days. An account is closed when the business asks us to close it, or 90 days after the end of its last paid period if it does not renew (see How long we keep data).
People who connected Gmail or Google Calendar
- Removing a mailbox or calendar in APROS does not revoke APROS’s access at Google. It stops syncing, but the encrypted access token stays stored in the workspace. Removing a mailbox deletes its synced messages from the workspace database, but not their attachment files or search-index entries. Removing a calendar connection keeps the events already copied into APROS.
- To revoke access: remove APROS in your Google Account at myaccount.google.com/linkedapps, or email us as described above and we will revoke it at Google and delete the stored token.
- To delete what was copied: ask your workspace administrator, or email us as described above. We delete the synced emails, their attachment files, the synced calendar events, and the related search-index entries and audit-log copies.
Anyone else
If your data is in a business’s APROS workspace for another reason, the business is responsible for it. You can ask the business directly, or write to us: we will pass your request to the business and help it act on it.
If you joined our waitlist, email us and we will delete your sign-up (see Waitlist).
If you want your own APROS user account deleted, ask your workspace administrator or write to us. In APROS, deleting a user deactivates the account; to have the personal data in it removed as well, include that in your request.
What happens next
- We handle requests by hand. Within 10 working days we tell you whether and when we will act on your request.
- We complete the deletion within 30 days of verifying the request. If a request is unusually complex, we tell you within those 30 days why we need more time and how much.
- When we have finished, we reply to your email to confirm what we deleted.
- If we cannot delete something, we tell you what and why.
What stays elsewhere
We delete only data stored in APROS. Some copies are outside our control:
- On Meta and Google. Your messages stay on Facebook, Instagram, WhatsApp or in Gmail and Google Calendar. You can delete them there with those services’ own tools.
- Copies the business made. For example, notification emails or Telegram messages that the business’s staff received, or files the business exported.
- AI providers. If AI features processed your data, the AI provider may keep it under its own terms (see AI processing).
