Invoicing

The invoice leaves from your own mailbox.

Maria closes the Harbor & Pine Studio deal and creates the invoice from it in one click. The company, the currency and the oak chairs and ash tables are already on it, and the due date follows the payment term. She clicks Send Invoice. Emma gets the PDF from Maria’s own mailbox, with a “Pay the invoice” button. The invoice turns Sent only once the mail server has accepted it.

Getting paid

Emma pays from her phone. The ledger already knows.

Emma scans the QR code and pays by card. When an invoice is in dollars and the payment method settles in another currency, the page converts the amount at your rates, shows it before paying and locks it for the session.

When the provider confirms, the payment is credited to the invoice, an income transaction appears in the ledger, and any exchange difference is posted there too. A payment by bank transfer is recorded by hand with its reference.

Cash flow

See the cash gap before it happens.

Olena runs finance for a 30-person studio. Statements come in from the company’s Privat24 for business account, and from a second bank as an XLSX export. Her rules file “Nova Delivery” under Logistics and the rent under Office. The payment calendar lays planned payments over actual ones day by day, and it shows a warning on the Thursday the projected balance dips below zero, while there’s still time to move a payment.

Reports

Know which projects actually make money.

The Profitability report puts income next to direct costs and margin for every project, deal or company. In the project view it adds labor cost: the hours your team tracked times their rate. The Harbor & Pine delivery project brought in $2,308.00, and the report shows what it cost to deliver. Switch the P&L between cash and accrual, compare the month with the budget, and see who is past due in Receivables.

AI in this module

Tell it what moved. It books it.

  1. Book it in a sentence.Say “record a $60 delivery expense from the Kyiv cash account” in the AI Brain. With the Finance ledger skill, an agent books income, expenses and transfers to your own accounts and categories.
  2. It tells you what it did.The agent reports the amount, date, account and category it used, so you can check the entry at a glance.
  3. It asks instead of guessing. It’s built to ask when no category fits rather than invent one, and to leave currency conversion to your rates. Deleting a transaction always waits for your approval.
  4. Charts you keep.Ask the Brain for a chart of invoices and you can save it to your dashboard.

FAQ

Finance questions.

Can APROS send recurring invoices?

No. “Recurring” in Finance means recurring income and expense rules in your ledger, like rent or a retainer you want planned. Each invoice is created on its own, and you can duplicate any invoice in one click.

Which payment methods can my customers use?

Card, Apple Pay and Google Pay through Stripe or monobank acquiring; crypto through NOWPayments or to your own wallet; and bank transfer. You connect your own accounts, and the payment page shows the methods you’ve turned on.

Does it work with our bank?

monobank and Privat24 for business connect directly. For any other bank, upload a CSV or XLSX statement. Columns are detected for you, and the preview flags duplicates before anything is saved.

Does APROS replace our accountant?

It gives you management accounts: where the cash is, what’s planned, what each project earns, and who owes you. Statutory bookkeeping and tax filing stay with your accountant.

We invoice in several currencies. Will the reports add up?

Each invoice keeps its own currency. Reports are always in your base currency, converted at your rates, and any row without a rate is listed so you can fix it, not quietly left out.

Put the money next to the work that earned it. Join the waitlist, or book a demo and we’ll send a real invoice through the payment page with you.
